the protection of your privacy and personal data is absolutely essential for us. Therefore, please pay attention to this document, where you will find all the necessary information regarding your personal data processed in our accommodation facility!

  1. For what purpose do we process personal data?

  • so that we can provide you with accommodation services (i.e. conclusion of a direct contract)
  • manage and supplement reservations and registrations
  • for purposes required by applicable laws, regulations or other agreements
  • to meet our business needs and legal obligations
  • manage our relationship with you and (where relevant) the organization you represent, including providing information about our products and services

  1. What personal data do we process?

If you are a foreigner, we must fulfil the obligations according to Act No. 326/1999 Coll. about the stay of foreigners in the territory of the Czech Republic and to keep a house book, where we are obliged to record the following personal data: beginning and end of accommodation, name, surname, date of birth, citizenship, number of travel document and visa, if indicated in the travel document, permanent residence abroad, purpose of stay in the Czech Republic. We keep the house register for 6 years from the last entry. We are obliged to keep the documents replacing the house book for a period of 6 years from the end of the foreigner's accommodation.

According to Act No. 565/1990 Coll. about local fees, we are required to pay an accommodation fee and keep a record book where we must record the following personal data: start and end of accommodation, first name(s), surname, date of birth, number and type of identity card, permanent residence, purpose of stay. The payer of the fee (i.e. us) is obliged to keep the record book for 6 years from the date of the last entry.

If we issue you an invoice (or other tax document), it has legal requirements containing your personal data (including identification of you as a guest, the nature of our service and other relevant information) and the document cannot be issued without them. Also, for the purposes of obligations under accounting regulations and Act No. 235/2004 Coll. for value added tax, we have to process your data and keep it for a period of even 10 years.

You become our client at the moment of your request for accommodation. Because it is polite and our duty to reply to you, we obtain your personal data in order to communicate with you. Personal data processed for the purpose of accommodation will be processed for the entire duration of the accommodation and then for a period of 6 months from the end of the accommodation for the purpose of possible complaints. We will keep your name, surname, residential address and communication with you for a period of 3 years from the end of the accommodation for the purpose of registering any claims in legal disputes. During this time period, we will send you information and news from time to time about our services. If you do not want to receive these messages, you have the option to unsubscribe at any time for free (the method will always be indicated within such communication). Here, too, our legitimate interests are at stake.

  1. From whom do we obtain personal data and to whom do we pass it on?

We obtain personal data exclusively from you, either directly or through a contractual intermediary with whom you have chosen our hotel for your stay and agreed to the terms and conditions and processing of your personal data. We do not collect any other data about you, except for those that you give us yourself. You are required to provide us with only accurate information and if your personal information changes, you must update it.

We pass on personal data to the relevant municipal authority (Act No. 565/1990 Coll. on local fees), the foreign police (According to Act No. 326/1999 Coll.), the tax office of Act No. 235/2004 Coll. on value added tax) and other state control bodies in the event that such a justified situation arises.

  1. How do we process and protect your personal data?

For the purposes of registering and processing reservations, issuing accounting documents, we use the Better Hotel software reservation and reception system of our contractual partner: Mevris Group s.r.o., Company ID: 024 65 345, VAT number: CZ024 65 345, with registered office at Rybná 716/24, Staré Město, 110 00 Prague 1, based on a license agreement.

Personal data is processed in electronic form by automated means and manually by our employees, respectively. by persons entrusted with the administration of the reception. All these persons may process personal data only under the conditions and to the extent stated above and are bound by the obligation to maintain confidentiality about personal data and about security measures, the disclosure of which would endanger the security of personal data.
